The Operational Mirror (“TOM”) · a service of Dexability Co · Effective Date: June 24, 2026

1. Introduction

This Privacy Policy explains how Dexability Co (“we,” “us,” or “our”) collects, uses, shares, retains, and protects information in connection with The Operational Mirror (“TOM”).

TOM is a standalone service. This policy applies only to information collected through TOM and is separate from the privacy policies of any other Dexability Co service, including The Relocation Navigator.

2. Information We Collect

2.1 Information you provide at checkout

Your name, email address, and payment information, collected and processed through Stripe at the time of purchase. We receive confirmation of payment and basic billing details, but do not store your full card number.

2.2 Information you submit for your analysis

To produce your report, we collect detailed business information through our intake forms, submitted in two parts:

  • Part 1: Business overview, revenue and growth history, your role as founder, and your current operations and systems.
  • Part 2: Information about your people and contractors, the tools and automation you use, compliance and risk-related details about your business, and your own written reflection on your business (the “Open Mirror”).

This may include information about employees or contractors you work with, software and vendors you use, and details about how your business operates. You are responsible for ensuring you have the right to share any third-party or personnel information you submit.

2.3 Communications

We collect the content of emails or messages you send us, including support requests and any information you provide in response to intake reminders.

3. How We Use Your Information

We use the information described above to:

  • Process your payment and confirm your purchase;
  • Produce your interactive TOM report, including the compliance, risk, operational, and (if earned) social media analysis components;
  • Communicate with you about your intake, processing status, and report delivery;
  • Provide customer support;
  • Maintain records required for accounting, tax, and legal compliance;
  • Improve our internal processes and report methodology, generally using de-identified or aggregated information where practical.

We do not sell your information, and we do not share it with third parties for their own marketing purposes.

4. AI-Assisted Processing

Producing your TOM analysis involves the use of AI-assisted tools, including Anthropic's Claude API, to help process and analyze the business information you submit. The information you provide is sent to this third-party AI system as part of generating your report.

What this means in practice: the business, operational, and personnel information you submit in Part 1 and Part 2 is processed using AI tools as part of producing your analysis. We do not use your submitted business data to train our own AI models, and we take reasonable steps to use AI providers under terms that limit further use of your data. 5. Who We Share Information With

We may also disclose information if required by law, subpoena, or legal process, or to protect the rights, property, or safety of Dexability Co, our clients, or others.

If Dexability Co is involved in a merger, acquisition, or sale of assets, client information may be transferred as part of that transaction, subject to this Privacy Policy or a successor policy of which you will be notified.

6. How Long We Keep Your Information

  • Submitted business data (the contents of Part 1 and Part 2) is deleted from TOM's internal systems no later than 60 days after it is collected.
  • Your completed report remains active and accessible on the delivery platform (currently Libertify; in the future, a custom TOM platform) indefinitely after delivery, even after the underlying submitted data has been deleted from our internal systems.
  • Your name, email address, and purchase date are retained indefinitely for our business records, unless you request deletion.

You may request deletion of your name, email address, and purchase date at any time by contacting . Note that deleting this information may affect our ability to verify your purchase or provide support related to it.

7. Data Security

We use reasonable administrative, technical, and organizational measures designed to protect the information you submit, including relying on reputable third-party providers (Stripe, Jotform, MailerLite, Libertify, Anthropic) that maintain their own security practices. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your Privacy Rights

Depending on where you live, you may have rights to access, correct, or request deletion of your personal information, or to object to certain processing. To make a request, contact us at .

Please note: requesting deletion of your submitted business data before your report is delivered may prevent us from completing your analysis. Once your 60-day retention window for submitted data has passed, that data is deleted automatically regardless of any request.

9. Children's Privacy

TOM is intended for business owners and founders 18 years of age or older. We do not knowingly collect information from anyone under 18. If we learn we have collected information from someone under 18, we will delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The “Effective Date” at the top of this page reflects the most recent revision. Material changes will be reflected on this page.
